JOB TITLE: Operations Associate

FLSA STATUS: Exempt -- Administrative

PREPARED: 11/06

SUMMARY: Responsible for the coordination and administration of operational duties (customer service, dispatch, load planning, etc.) directly related to the business operations of the company and its customers.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following but may vary dependent upon the business needs of the company and the employee's specific area of responsibility. Other duties within the position may be assigned.

Customer Service

Receives and carries out instruction.

Manages customer base, understands customer expectations and provides service that meets or exceeds those expectations.

Develops and maintains profitable traffic lanes in coordination with various departments within the organization.

With the guidance of the Business Plan, solicits outbound freight for equipment destined to deliver within the assigned geographic territory. Includes when necessary, soliciting freight for affiliated companies equipment.

Timely enters available loads in the computer with all required information to properly dispatch and pick up the load, create the freight bill and supply the customer with any EDI information required.

Schedules all loading and unloading appointments so as to meet the customers requirements and to maximize the driver's and the equipment's productivity.

Traces all shipments while under dispatch from the time the load is picked up until it is delivered.

Communicates with the Marketing Representative for the assigned territory on a daily basis; and timely advises necessary parties of any customer problems or equipment imbalance. Works with the territory Marketing Representative to keep the Business Plan current at all times. Updates written business plan monthly.

Monitors on time pickup and delivery of booked freight on a daily basis. Goal = 100% on-time.

Maintains the proper trailer pools within assigned area and confirms pool numbers with a physical yard check on a daily or weekly basis as conditions dictate.

Conducts follow up on customer concerns in a timely, professional, efficient and concise manner and keeps Marketing Representatives informed of these issues.

Travels as needed.

Assists in expanding customer base by building the proper rapport with customers.

Maintains proper communication and cooperation with drivers, customers, and coworkers.

Monitors current system and develops means to improve driver retention.

Performs duties of special projects within area of assigned responsibility.

Maintains regular and predictable attendance.

Dispatch/Driver Manager/Load Planner

Receives and carries out instruction.

Dispatches equipment in the most efficient and productive manner based on the criteria of the load select policy. Timely enters accurate information in the computer system to support other aspects of the company business.

Accomplishes on time pickup and delivery of freight for an assigned geographic area by assigning and dispatching a truck for the freight in a timely manner.

Dispatches equipment generally on a first empty, first dispatched basis using the load select policy as a guide to the assignment of freight within a certain area. Adjust the first empty, first dispatched policy as needed to respond to driver emergency needs and to satisfy the driver's legitimate home time needs per company policy.

Monitors drivers' time away from home and uses all tools available to meet the drivers legitimate needs to get home in conjunction with the company policies on home time.

Controls deadhead in an efficient manner.

On a daily basis, traces for the purpose of 100% on time delivery, all loads under dispatch from the time the load is picked up until delivered.

Maintains proper trailer pools within assigned area and confirms pool numbers with physical yard check on a daily or weekly basis as conditions dictate.

Monitors drivers' log book hours in order to not run driver past the legal hours of the log book as permitted by D.O.T.

Maintains proper and open communication with drivers, customers, and coworkers.

Handles driver issues and needs in a timely and professional manner.

Monitors current system and develops means to improve driver retention.

Performs duties of special projects within area of assigned responsibility.

Maintains regular and predictable attendance.

KNOWLEDGE, SKILLS AND ABILITIES

Ability to read, write, talk and hear.

Ability to add, subtract, multiply and divide.

Ability to lift and/or move up to 10 lbs. as required.

Proficient in the use of a computer and computer programs.

EDUCATION AND/OR EXPERIENCE: Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.I have read and understand the functions of the position as defined above.
